Ok. A buyer wants to cancel an order of 625 parts due to the high shipping cost.
I spent almost 2 hours finding the parts. How is this fair? I don't make
the shipping fees from the post office. If I leave them a negative they will
most likely leave me a negative too. I even state in my terms "please ask about
shipping before placing an order". Does anybody read anymore or have time to
ask questions? Any thoughts?

My advice would be enable instant checkout (if you haven't already). And
never pack an order before receiving payment. And if you have to send a manual
invoice, it's extremely easy to find out the price of shipping before packing
the order.

In addition, you can view the approximate weight of the parts for the order in
the order details. If you don't have that set, you can just change it on
your setting page: https://www.bricklink.com/orderSettings.asp

Just take that, add the weight of your packaging and you can send the invoice
with out all the hassle next time.

Either turn on IC, or estimate the weight, and invoice before pulling
the order.

Don't spend a lot of time on an unpaid order.

It sounds like you pulled the parts first then sent the invoice. However, if
you encourage buyers to ask about shipping this must mean that you are able to
give a shipping quote and that you know approximately how much shipping will
cost. Why do any work until you have sent the invoice and been paid?

I'm sure others will chime in with the following as well: consider enabling
instant check out.

I assume the buyer is in the US.

Enable quote request so that the buyer can now the shipping costs before he submit
the order. It is easy and good.
If buyer does not request a quote, "the shipping costs is high" is just an excuse
and I invoice and then file an NPB if he does not pay.

To check how it works, feel free to check my store. I rarely need to cancel or
file an NPB.

Are you taking advantage of USPS flat rate packaging? I'm shocked by the
number of well established sellers I run into that are not using it. I had a
seller recently with thousands of feedback that didn't know what a flat rate
envelope is, I only found this out after asking why shipping was twice as high
as it should have been

The only flat rate offering I have found of use is the padded flat rate envelope.

It isn't about trust, it's about expectations. The buyer placed an order,
without knowing what the shipping would be, and expected a lower cost. Buyers
(almost) always are looking for a lower cost.

If you implement IC, then the buyer will know the shipping cost as part
of order creation, and can back out before an order number has been assigned.

There really isn't a bad guy in this situation, it's that buyers have
(more or less) disconnected themselves from the high cost of postage.

No, you can't. Many years ago I had a high lot order from a high feedback
member, with no negatives. They ended up with their first NPB. After the hours
lost, I never pulled another order without being paid. You can get pretty accurate
results over time calculating the ship cost and sending the invoice first using
the estimate.

Sorry that happened to you, it's a real drag.

In the interest of customer service, you could also follow this path:
1) Discount the shipping and resend the quote.
2) As soon as positive feedback has been left, block them.
3) Enable instant checkout. I was skeptical and put it off for years, but once
I set it up, I rarely get any invoiced orders, just a surprise notification that
I have a new PayPal payment. I'm a tiny store so it was worth it to me.

How much of it is down to shipping fees compared to the extra lot fees that you
add on manually?

If it is just shipping costs, learn to estimate them by looking at the parts
and weight rather than picking everything.

That's a pain, yes. Buyers can cancel anytime, that's life. To avoid
this problem, remove the need to pack the order first from your shipping cost
calculation routine. Either by enabling instant checkout, or by simplifying your
shipping rates so that you can quote or invoice the buyer based on a simple calculation
without needing to pack anything (and possibly eliminating the need for buyers
to ask for it - or to be surprised by it - in the first place).

Usually sellers consider offering discounts for larger orders. You seem to have
a policy of charging extra for the more you order! Why pick an order before they
pay? Just do a check you have the parts. It's not nice when buyers cancel
an order, but that's life.
