My customer managed to pay in a way that it is not visible on BL, using Paypal.
Usually this goes automatically.

How do I change the order paid or shipped?

I will let it be this time. It is a first time buyer, and some people these days
are not good with IT, so it would be more trouble for him.
I see many buyers that ask on help how to pay, and they have no idea to so complete
orders or give feedback

I was more wondering whether I can update the order in question to the right
state

I will let it be this time. It is a first time buyer, and some people these days
are not good with IT, so it would be more trouble for him.

Hmmm, yes, but if you collected sales tax from the buyer you have no way to remit
it.

I would try crediting the buyer for 100% of the amount of the order, then see
if you can change the payment status. I've never tried it but maybe it works?

If you are required to let BL handle taxes, you want to prevent people from making
payments "the old-fashioned way":

- Make sure the email address you have with Paypal for deposits is different
from your BL email address (so people can't easily "guess" where
they send a manual payment to);
- Don't advertise that email address in any BL invoicing you send out.

This way, at least you prevent people from skipping the online PP option.

One issue here is, that I Can repeat it, but if the customer does not know how
to pay, then I will get the same situation.
I have a feeling, that is yet another customer, who cannot really use computers,
so I cannot even ask how they do it, as they cannot explain it.

The best thing for such first time buyers would be an instructional video.

We use it for our customers at work.

I would find it hard to believe that your customer does not understand how to
click the onsite link next to their order in their Orders Received tab. It was
designed to be simple and pay you onsite through BrickLink, and allows BrickLink
to collect taxes which they are required by law to collect.

Since you stated that the order was not paid, it sounds like they sent the money
to the wrong PayPal address, and was not an onsite payment.

It is important that you communicate with your buyer and help them understand
what PayPal address the funds should be transferred to, and whether they should
pay using an onsite link, if one exists for their order.

Keep up with the communications, if no response from the buyer, file NPB alert
to get their attention. There is a Help Center topic on how to deal with Non
Paying Buyers. There is a waiting period of no response, then you can proceed
with the NPB alert. It can be retracted if the buyer pays or asks to cancel the
order. It's your choice whether to allow them to cancel without the NPB penalty.

If your buyer communicates outside of the BrickLink messaging system or the NPB
alert they're looking at on BrickLink, copy and paste any responses they
send you into the NPB alert, should you end up having to file one.

The buyer should be able to get their funds back through PayPal support or their
credit or debit card's provider, if they can't retract it themselves.

Do not be aggressive, just stick to the request that funds be paid or that the
order be cancelled. You will get a resolution, it will require patience, and
working with the buyer.

I sincerely hope you get this order sorted out.

With Onsite payments once you send the invoice a button "PAY" appears
on the orders list page and also inside the order details. It's a matter
of clicking it and login to PayPal/put CC details and accept.

The way of copying your email address and enter PayPal to manually send the money
is more complicated than that.

To solve this situation just refund the payment you received, and send a message
to the buyer stating there was a problem and the initial payment was fully refunded,
and now they just need to press the PAY button on the order, you can send the
order link to ease it.

Else it is TAX evasion and you can get in trouble.
