back and do a recount?
or do you just wing it from there?

Cause it's been about 6 months since I started my store and I notice some
numbers starting to be off but JESUS THAT'S A LIT OF WORK

It happened twice though that I was missing a part in my inventory and somebody
ordered it ... don't know why, maybe I need to count more carefully. I usually
go through my own sets then and pick the part from there

It happened twice though that I was missing a part in my inventory and somebody
ordered it ... don't know why, maybe I need to count more carefully. I usually
go through my own sets then and pick the part from there

It's happened to me several times. Luckily I usually have about 150-200 lbs
backup uninventoried. I now see why people hire people!

You wouldn't do it for every part, only for ones where the qty available
is low. I check if the qty available is 10 or less. You have to pull the drawer/bag
to pick the piece for the order, might as well do a quick check on the remaining
stock of that piece.

Beware, that number reflects the Qty Left at the time of viewing/printing, not
at the time of ordering. This thus includes all other orders up to that time.
If more orders came in between ordering and printing, this number might not be
what you expected.

That is a useful setting to display the leftover items, but we have the same
item in stockroom and retain. Sad fully does only show the leftover ones not
the in stockroom.

There's ten thousand ways for you to get wrong numbers in your inventory.
Even if you are a very careful counter. I know, because I've done them all.


I probably should go back and do a full inventory. What I do instead is work
from the order sheet. If it says I should have a certain number of a parts in
a lot, and I see something different, then I go back and check, and correct if
I need to.

I did this once for over a month and it helped a lot:

I noticed I had quite a few inventory oopsies, so I just input my number of drawers
into a random number generator, then pick ten random numbers and thoroughly check
those ten drawers, no matter if they had 10 pieces or 1000 pieces. Did it on
a daily basis for about 5 weeks, and at the beginning I usually had 1-2 drawers
with error, and at the end I managed to be able to pick random drawers an d find
no errors.

I guess it might be better to do it in numerical order, but I wanted the randomness
of seeing what pieces I had where.

Yeah I'm good in the scales department... my husband used to uh be very cautiously
precise what he put into other peoples bodies... for health and stuff..

Most domestic scales are not accurate enough for counting LEGO® bricks.

Several of the largest stores on bricklink use commercial counting scales including

These scales are so sensitive they actually recommend keeping them away from
HVAC vents.

You can still use a regular scale and do this as long as you put some of the
total in the stock room. For example, If my weighed total is 1,617 pins, I would
list 1,550 pins and put the other 67 in the stockroom. Once the total pins available
for sale gets to a low number, I would then hand count out all remaining pins
and true up the total.

A quicker alternative is to put off the count until you have smaller quantities.
If you think you have 1617 but it might be as high as 1625 or as low as 1610,
then update the inventory to be 1600.

That way, if they don't sell you haven't wasted any time counting them.
If they do sell, then you have enough to fulfill any order placed for them. The
chance of someone not buying from you because you only have 1600 listed and in
reality they wanted 1617 is tiny.

If you think you may have larger errors after combining lots, list just 1500.

Of course you still need to count out or weigh when someone orders, unless they
buy the lot. And there it helps if you pre-bagged them in 100s and never tamper
with those bulk bags.

That's the Best Idea in this whole Thread.

It is how I do things. ALL of my inventory is in pre-counted bags of 20 or 100.
Any number other than that means I either write the actual number on the bag
or I use a small piece of (colored) paper as a flag.

I really love having all of my inventory pre-counted. I do buy mass quantities
of zip bags of various sizes and I buy lots of 2x2 inch colored sticky notes
(Post-It Notes) and either fold them over or cut them down smaller to make my

Having everything precounted does slow down the processing of inventory, but
really speeds up order picking. It also means that if someone buys 400 of something,
it always comes to them in multiple bags but I have Never had anyone complain
(and if I did, I would simply ignore that). In the end, I pretty much only have
to count stuff ONCE ever. And for checking stock levels, it is so much faster
to count bags of 20 or 100 to find out the total.

This process works best on NEW inventory and when parting out sets in batches
of 20 copies, but can be useful for any quantity levels.

Cause it's been about 6 months since I started my store and I notice some
numbers starting to be off but JESUS THAT'S A LIT OF WORK
-I don't have enough medicine for that

I'm glad it's not just me. I noticed some numbers being off lately and
it's super frustrating. I generally trust the numbers brickstore is telling
me when I part out and upload but I have several lots where I'm just one
short, and I've had other lots where I have far more than inventory is telling
me.

It's possible I sent 1 extra one by accident and the buyers didn't tell
me, but in other cases I've had bricklink tell me I had 4,800 black 4x6 or
4x8 plates when I only had 150. I have no idea how that happened.

So I've been adding new inventory and doing recounts when adding the new
pieces, then recounting bricks of like kind as well since the bin is out.

I've thought about writing a script for this. Say you had 1000 drawers. You
could have it output 5 random drawer numbers that you would then inventory. The
next time you ran it it would randomly pull from the remaining 995 drawers. So
it is a hybrid of random spot checks and crossing ones you've already verified
off the list.

It lets you make doing inventory part of your routine instead of some big task
that you dread. Maybe set a goal of checking X drawers a week with an eye toward
having the entire store verified each year.
